Instructions for the Online Learning Agreement

The Online Learning Agreement (hereinafter referred to as OLA) is a mandatory document for your Erasmus studies, which must be submitted before the start of your stay by both grant holders and zero grant students (Erasmus students without a grant). The OLA specifies which courses you will take at the partner university and how these will be credited to your studies at HHU if you pass them. Please contact your Erasmus Departmental Coordinator to select your courses.

Step 1

The EU Commission provides the OLA at the link www.learning-agreement.eu

Note to all students who are spending their Erasmus study period in the United Kingdom: Due to the special status of the United Kingdom, you cannot access the OLA via the EU Commission link above. Please contact your Erasmus Departmental Coordinator to obtain the relevant document.

Click on “Login to access your Learning Agreement” and then on “Log in with MyAcademicID”.

Step 2

Search for Heinrich Heine University and enter your university username and password. Then accept the transfer of your data. Complete the registration in the system.

Step 3

Next, you need to create the Learning Agreement. To do this, select “My Learning Agreements” and click on the “Create new” button.

Then go to “Semester Mobility”. 

Step 4

Now fill in the mandatory fields in the sections “Student Information”, “Sending institution information” and “Receiving institution information”. Please ask your Erasmus Departmental Coordinator for the information required for the latter two sections. Please also ensure that you enter the details of your contact person in your department under “Sending institution information” and not your contact persons at the International Office. Finally, click on “Next”.

Step 5

Now you can start creating your OLA. If you have not received the course catalogue from your host university by e-mail in advance, look for it on their website. Add each course you would like to take as a “Component to Table A”. As an Erasmus student, you are required to take courses worth at least 20 ECTS credits and have this number of ECTS credits confirmed on your Transcript of Records at the end of your stay. In addition, you must take the majority of courses at the host university in the subject, which nominated you here at HHU (example: if you are a PPE student nominated by the subject philosophy, you must take the majority of courses in philosophy at the host university).

For all selected courses, it must be clear whether they can be recognised at HHU. This is noted in Table B.
When completing Table B, please be sure to follow the subject-specific information below (if your subject is not listed below, there is no subject-specific procedure)!

Step 6

Once you have entered all the courses you would like to take, skip the “Virtual Components” section and proceed to “Commitment”. Here, you have to add your digital signature. Then the OLA is sent to the responsible person at HHU (this happens automatically). 

If your Erasmus Departmental Coordinator agrees with your OLA and has also signed it digitally, the document will automatically be sent to the responsible person at your host university. You will be informed of this process by e-mail.

If your Erasmus Departmental Coordinator does not agree with your course selection, they can return the OLA to you with comments and your signature will be deleted. You will be notified by e-mail. You can revise the OLA according to the comments.

Once the responsible person at your host university has also signed, you will receive another e-mail. You can now download the OLA as a PDF file from the website.

Art History

All students enrolled in BA and MA Art History programmes must agree a consultation session with the Erasmus Departmental Coordinator for Art History to talk about the recognition of courses and credits at HHU before completing Table B. Students of Art Mediation and Cultural Management, on the other hand, must clarify the recognition with the subject examination coordinator in advance.

When completing the OLA, please follow the order of Table A (i.e. course 1 in Table A corresponds to course 1 in Table B, etc.). However, please ensure that you enter the corresponding ECTS credits from HHU in Table B, not (again) the ECTS credits from the host university.

Computer Science

Before completing the OLA, talk to your Erasmus Departmental Coordinator about the recognition of courses. They will provide you with instructions on how to complete the form.

Cultural Studies - Department of Media and Culture Studies / Media Culture Analysis

Enter the module components to which the courses taken abroad are to be credited in Table B. Consult the module handbook and enter the title of the module component (e.g. “Thematic Seminar on Digitality”, “Final Examination Advanced Module II” or “Elective Area, 2 ECTS”). When registering for courses abroad, please ensure that the content and number of ECTS credits are comparable to our module components. The Erasmus Departmental Coordination Office will then review the planned credit recognition and confirm its expected feasibility by signing the form.

Cultural Studies - Department of Romance Languages and Literature

Please refer to the ILIAS folder “Erasmus-Romanistik” (German only), where you will find instructions and sample documents. You can obtain the link to the folder from the Erasmus Departmental Coordinator, Sonia López.

Dentistry

Before completing the OLA, please contact Professor Hugger (hugger(at)med.uni-duesseldorf.de).

Economics

Enter the following note in Table B: “Decision has not been made yet, valid for all courses listed in Table A”. Recognition of courses completed abroad is always assessed after the stay abroad.

English Studies

As the recognition of credits must be agreed with the English Studies Student Office before completing Table B, please contact SBanglistik(at)hhu.de.

German Studies

The selected courses are initially assigned to the interdisciplinary elective programme. After the semester abroad, the recognition officer decides on the individual recognition of courses completed abroad for the degree programme at HHU.

Law

Since the recognition of examination results is decided on a case-by-case basis, simply fill in the first row of Table B and enter the following sentence as the  “Component Title”: “The foreign study itself is recognised as a certificate in foreign language with regard to § 7 para. I No. 3 JAG NW.” Finally, select “Automatic Recognition“.

Mathematics

Please talk to your Erasmus Departmental Coordinator before completing Table B. As a general rule, the ECTS credits from the host university are transferred to Table B.

Medicine

Before completing the OLA, please be sure to review the subject-specific information, instructions and examples in ILIAS. You will find the link to the relevant ILIAS section on the following website: www.medizinstudium.hhu.de/studienorganisation/outgoings/studiensemester-im-ausland (light blue button at the bottom right, “ILIAS – Erasmus-Informationen für nominierte Outgoings (FAQ, Kurswahl, OLA etc.)” (German only).

Philosophy

Enter the modules for which the corresponding course from Table A is to be recognised in Table B. In principle, all courses you take at the host university can be recognised for the interdisciplinary elective area (profile development). If the suitability of the courses is not immediately apparent from the course title, discuss the modules with your Erasmus Departmental Coordinator in advance and send them the official course description (announcement text), which outlines the content and level of requirements for the respective courses at the host university.

Psychology

For each course listed in Table A, create a parallel entry in Table B with the corresponding course code (“Code”) to ensure correct assignment.
Under “Subject”, enter the module at HHU for which you would like to have the course recognised upon successful completion. To do this, obtain an informal prospective equivalence certificate from the module coordinators at HHU.
Please then send this prospective equivalence certificate directly to the Erasmus Departmental Coordinator for psychology (erasmus-psycho@hhu.de) before submitting the OLA. Enter the creditable ECTS and the semester of the course at HHU in Table B as well. If you do not wish to have courses recognised at HHU, enter “no recognition wanted” and 0 ECTS under “Subject”.

If you make changes to your course selection after the start of your stay, you must update your OLA accordingly.
The OLA “During the mobility” must be submitted to the International Office at HHU no later than one month after the start of your stay!

The update is also carried out via the EU Commission website (www.learning-agreement.eu) and must be completed within the first four weeks of your stay. To do this, log in again with your university username and password.
New courses are added via the “Add Component Final Table A2” button. 
Courses to be removed must also be added to Table A2 first. Please ensure that you enter exactly the same course title, course code, etc. as in your OLA “Before the mobility”. Using the drop-down menu, you can then select the option “Deleted” for these courses and a reason for deletion.
Complete the process by clicking on the “Next” button.

Please make sure that you still meet the minimum requirement of 20 ECTS credits!

The OLA must be signed again by you, your Erasmus Departmental Coordinator at HHU and the responsible person at your host university, and then sent to the International Office.
