If you use the contact form below to send documents electronically in the meaning of Art. 3 (1) of the Act to Promote Electronic Government (E-Government Act) of the state of North Rhine-Westphalia (Gesetz zur Förderung der elektronischen Verwaltung NRW – EGovG NRW), your data will be sent to selected areas of Heinrich Heine University Düsseldorf using TLS protocol encryption. As your identity cannot be verified when using the contact form, we can only respond to you by e-mail in the case of general information. Confidential information will be sent in writing by post. Please therefore also provide your full address in such cases.

2. Information on the personal data processed and the purposes of the processing

Within the framework of use of the HHU electronic contact form, the following personal data of users:

  • Information from the contact form
    • Mandatory entries: last name, first name, e-mail address and the unit to be contacted, subject and the message
    • Telephone number, address data and attachments, insofar as the user provides them voluntarily via the form. These data can help answer the inquiry.

are processed for the following purposes:

  • Provision of an electronic contact form, which also enables the secure (TSL-encrypted) transmission of messages and documents to HHU. The personal data entered in the form are processed solely in order to deal with your contact. This constitutes the requisite public interest of HHU and the interest of the contacting person in the processing of their data. Other personal data processed are required for technical reasons or serve to prevent misuse of the contact form and ensure the security of the IT systems.

3. Legal basis for the processing

The legal basis for the processing of personal data transferred in the course of use of the contact form is Art. 6 (1) e. (3) of the General Data Protection Regulation (GDPR) in conjunction with Art. 3 (1) of the Data Protection Act of the State of North Rhine-Westphalia (Datenschutzgesetz NRW – DSG NRW). The data processing arises from the public mandate of HHU to realise teaching operations and inform users about HHU, its study programmes and events. It is necessary in order to provide users with the information they have requested. If you choose to use the form for the secure transmission of your data to HHU, the legal basis for the processing is Art. 6 (1) e. GDPR in conjunction with Art. 3 (1) of the Act to Promote Electronic Government (E-Government Act) of the state of North Rhine-Westphalia (Gesetz zur Förderung der elektronischen Verwaltung NRW – EGovG NRW).

In individual cases, which do not involve the realisation of public mandates, the consent of the user pursuant to Art. 6 (1) a. GDPR forms the legal basis for the processing of your personal data.

4. Duration of processing

The data shall be deleted as soon as they are no longer required to achieve the purpose for which they were collected. For personal data entered in the contact form, this is the case once the correspondence in question has been concluded. The correspondence shall be deemed concluded when it can be inferred from the circumstances that the matter concerned has been fully clarified.
